JOB MISSION:

Cohesity is seeking a Junior Executive Assistant to support the day to day business. You'll be handling a wide range of administrative support responsibilities and should be a natural people person. This role might be for you if you: are a nimble multi-tasker with strong communication and organizational skills; enjoy the fluid challenges of supporting multiple organizations; and crave an opportunity to be a creative orchestrator for a forward-thinking company.

KEY RESPONSIBILITIES

Inbox Management/Administration

  • Review and action managers inbox items in a timely manner
  • Maintain files and update records
  • Record Minutes of meetings where required
  • Prepare agendas, files, and relevant documents for meetings, business trips and other purposes as required
  • Liaise with internal and external stakeholders ensuring clear communication and time management
  • Maintain contact with manager daily with outline of tasks completed, outstanding and in progress

Calendar Management will be:

  • Coordination and prioritization of day to day meetings
  • Color coding meeting to categorize importance
  • Remove any overlapping meeting conflicts
  • Build in buffers for planning, breaks, etc
  • Travel details to be put in calendars
  • Ensure agenda is included for all meetings in the invite

Travel management will be:

  • Setting up multiple accounts for best fares
  • Various reservations (restaurant, meeting space, events, hotel, meetings)
  • Liaise with Jen for group travel to ensure executive alignment
  • Visa management
  • Mode(s) of transportation (ie., trains, cars, etc)

Slide deck preparation

  • Content gathering from needed individuals
  • Org specific all-hands (ie, CS, Support, etc.)

Expense Management, Raising PO’s etc.

Ad hoc duties as required


Experience Required:

  • G Suite/Zoom/Slack essential
  • Excellent communication skill, written and verbal
  • Willingness to go above and beyond, strong customer service skills
  • Administrative background essential
  • Ability to prioritize changing workloads
